In short

Enter every item with its quantity, year of purchase, price and condition, and have both sides sign the list. Photos of every room with its furniture show what each entry meant.

How to fill in the template

Use one line per item. If an item is not on the list, it is hard to show at move-out that it is missing.

  1. 1

    Describe the item

Keep it short and recognisable: type, colour and size. For appliances, add the brand or model.

  2. 2

    Count it

For crockery, cutlery, glasses and textiles, give a quantity per type.

  3. 3

    Add the year and price

Enter the year of purchase and the price. If need be, estimate them and mark them “approx.”.

  4. 4

    Note the condition at move-in

Say whether the item is new, used or marked, and exactly where the marks are.

  5. 5

    Sign and keep a copy

Both sides sign the list at move-in, and each keeps a copy.

  6. 6

Fill in the last column at move-out

At move-out, tick off each item in the last column or note what has changed.

Why this matters

The tenant does not pay for normal wear on furniture (§ 538 BGB). If an item is damaged, its current value counts. You can only deduct if it is certain that the item was intact at move-in.

Frequently asked questions

How precisely do I have to list crockery and small items?

List crockery and small items with a quantity per type, such as “6 dinner plates” or “12 forks”. Leave out consumables like washing-up liquid or toilet paper.

What do I enter if I no longer know the price?

Enter an estimated price and the approximate year, and mark them “approx.”. An honest estimate helps more later than an empty column.

Does every new tenant need a new list?

Yes, every new tenant needs an up-to-date list. Before every move-in, check what is still there and in what condition, and have the current list signed.
