Cleaner reports damage: what turns it into evidence
Cleaner reports damage: what turns it into evidence
Your cleaner finds damage first. For that to become evidence, the report needs an evidenced time and must happen before the next check-in.
A message in the evening is not proof. The discovery becomes robust when it is tied to a dated capture made before the next guest arrives.
German law of obligations, §§ 280, 249 BGBIn 60 seconds
The end-of-stay clean is the one moment when someone walks the whole flat anyway. That is where documentation belongs.
Once a new guest has moved in, damage can no longer be attributed to a single booking, even if the deadline is formally still running.
A verbal or messenger report does not reliably evidence the time. What is needed is a capture with an independent time reference.
Define what gets captured at every turnover and make it a fixed part of the cleaning routine. Voluntary diligence does not survive a dispute.
Who takes the capture matters less legally. What counts is completeness, timing and integrity.
Legal framework
The burden of pleading and proving when damage arose falls on the claimant. Your own records and statements by assistants are admissible; their evidential weight depends on how traceably the time and content can be established.
Where the report falls down
| Weak | Robust |
|---|---|
| a verbal report by phone | a complete capture at turnover |
| messenger photo with no time reference | capture with an independent timestamp |
| discovery after the next check-in | finding made before the next guest |
Which deadline applies is in Airbnb damage deadlines; what the capture must contain is in Handover record for a holiday flat.
Common mistakes
Attribution to the booking is then lost, even inside the deadline.
It evidences the discovery, not the condition and not the time.
Make it a fixed step of the end-of-stay clean.
What to do next
Make the capture a fixed step of the end-of-stay clean. Do it with BildProof, about two minutes a room →
Give a clear list of what gets captured every time.
On a finding, report immediately, before the next check-in.
Frequently asked questions
Can my cleaner handle the documentation?
Yes, and ideally they should. They are on site after every checkout and walk the whole flat anyway. What matters is defining exactly what gets captured each time, so the captures stay comparable and nothing expensive is left out.
Is a WhatsApp with a photo enough as evidence?
As an internal report yes, as evidence only to a limited extent. A messenger evidences when a message was sent, not reliably when the capture was made or in what state, and the image may have been compressed or altered in transit. Since April 2026 that is additionally risky with Airbnb.
What if the damage is only noticed after the next guest?
Then attribution to a particular booking is practically lost, regardless of whether the deadline is formally still running. That is exactly why the capture belongs in the cleaning routine rather than in the suspicious case.
